Optimizing Email Deliverability and Eliminating Spam
Have you ever sent a contract out and then spent hours, days, or even weeks waiting for it to be signed, only to find out it had been stuck in your signer's SPAM folder the entire time?
That kind of delay is frustrating for both you and your signer. Luckily, it's also avoidable!
This week, we focused on optimizing ROGER’s email deliverability and also researching additional strategies you can use to ensure your contract requests land in the right inbox - not the junk folder.
Why Emails Get Flagged as Spam
Email providers use sophisticated (and sometimes frustratingly unpredictable) spam filters to determine which messages make it to the inbox. These filters look at everything - the email content, formatting, sender reputation, and even the length of links. If something seems “off,” your message could be rerouted to spam or, worse, blocked entirely.
Since ROGER sends signature requests on your behalf, we’ve optimized our system to avoid common spam triggers and maximize deliverability.
What We’ve Done to Improve Deliverability
1. Detailed Email Tracking
In the ROGER dashboard, you can now see exactly when your signature request was sent, whether it was delivered, opened, or if there were any issues (like a typo in the email address or a full inbox). This way, you’re never left wondering if your signer actually got the request.

2. Spam-Detector Friendly Email Formatting
Spam filters don’t just look for obvious red flags like “Make $$$ fast!” They also analyze HTML structure, formatting, and even the length of links. We’ve optimized our email templates to be as spam-detector-friendly as possible. Our emails are now optimized for Gmail, Outlook, and all major providers to maximize inbox placement.
3. Customized & Personalized Emails
Generic emails are more likely to be ignored (or flagged). Now, ROGER emails can include the recipient’s name in both the email subject line and body. This personalization makes the email look more like a personal message rather than an automated request.

4. Better Signing Link Handling
Some email providers treat long URLs with tracking parameters as suspicious. To counter this, we’ve refined the way our signing links are structured, making them cleaner and less likely to trigger spam filters.
Additional Tips to Improve Deliverability
While we’ve done a lot to boost email success rates, there are a few things you can do on your end to make sure your signature requests don’t end up in the void:
Send from Your Own Email Address: Instead of sending through ROGER, you can copy the signing link and paste it into a message from your personal or company email. This ensures the request comes from a known contact.

Write a Personalized Message: Customize the short message in the ROGER email to sound more like a natural, human-written request rather than a generic notification.
Use a Company-Branded Email: If you want a more official look, sending requests through ROGER can add a layer of formality while still benefiting from our deliverability optimizations.
Getting to "Yes"
Ultimately, our goal is to make it as easy as possible for your signer to see your request, open it, and sign without frustration. Whether you’re sending through ROGER or copying the link into your own message, we’re constantly working to improve the process so you never have to wonder, “Did they even get my email?”
